EVENTS PLANNING ASSISTANT 1, MUSIC , Music and Theater Arts (MTA) (2 openings, to perform complex and diverse duties in support of music event operations. Will schedule events, assist with vendor selection, register attendees, and perform other event logistics in support of MTA's curricular programs, co-sponsored CAST (Center for Art, Science & Technology) concerts, and other events. This will include assisting with the selection and contracting of musicians, lighting technicians, and other production services; booking travel; processing fees/reimbursements for artists; overseeing and paying student workers; procuring and distributing music rentals/purchases; creating concert materials; overseeing online ticket sales; and registering events. General administrative duties will include drafting and proofreading correspondence and promotional materials; responding to inquiries; offering process improvement suggestions; assisting with creating and managing event timelines and collateral; scheduling and preparing audition materials; database maintenance; overseeing usage, distribution, storage, and repair of instruments; and other duties as assigned. Will also handle a variety of financial duties including creating project/event budgets, developing projections, reconciling accounts, and processing payments and box office deposits.
Job Requirements REQUIRED : high school diploma or its equivalent; three years' administrative or events support experience; experience with event planning and production and project budgeting; experience with Apple platforms and software, FileMaker, Adobe Creative Suite, SketchUp, and Microsoft Office; excellent production and time management skills; excellent oral, written, and visual communication skills; attention to detail; initiative; attention to detail; and ability to manage multiple projects simultaneously under pressure, and work independently and as part of a team. Duties may require moving objects weighing 10 to 20 lbs. and traversing long distances or moving from site to site. PREFERRED : knowledge in a field of music. Job #19736-5
