This position is responsible for providing administrative and project support to the Associate Vice President for Finance and Business Services.
Serving as first point of contact for general departmental inquiries and aids or refers to appropriate individual as necessary; maintains calendar for the Associate Vice President
Monitoring reporting deadlines for the directors and subordinates reporting to the Associate Vice President
Working with the Associate Vice President and staff to plan, coordinate, and complete projects in the Department
Keeping records of financial transactions including journal entries, purchase requisitions, payment request forms, chargebacks, invoices, deposit slips, and FEBA activity
Reconciling purchases to the Procurement Card and Travel Card statements; analyzes budget reports and makes recommendations as appropriate
Coordinating logistical needs for the department, external auditors, and other visitors
Receiving, tracking, and ensuring responses to incoming communications to the Associate Vice President
Recommending general ledger coding for departmental purchase requisitions
Taking notes at meetings, creates action items and follows up with appropriate personnel, and performs other duties as assigned by the Associate Vice President as needed.
Such training as may have been gained through a four-year college or university
OR any equivalent combination of experience and training.
Demonstrated proficiency in Microsoft Office Programs including Outlook, Word, and Excel.
Required Knowledge, Skills & Abilities:
Some knowledge of the principles and practices of public administration
Some knowledge of the principles of governmental accounting, statistics, and public personnel administration
Some knowledge of the sources of information, methods, and techniques used in administrative research
Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures
Ability to conduct studies and analyze contributing to the development of sound operational procedures
