Reports To: Chief Curator & Director of Programs Status: Full Time (40 hrs/week), Non-Exempt/ Salaried Summary: 651 ARTS seeks a Program Associate, whose key role is to assist the Chief Curator & Director of Programs (CCDP) in the planning, production, and execution of 651 ARTS’ season programming and artistic development opportunities. They will provide organizational and logistical support to the programming team and communicate interdepartmentally to execute programs, as well as maintain relationships and communication with artists and partner organizations.
Key Responsibilities: Subject to the policies and management directions established by leadership, duties shall include:
Programming and Production
Lead and coordinate events, productions, and other department activities by managing schedules, communications, Director of Programs & Chief Curator invite lists and invitations, program materials, site preparation, and providing on-site assistance.
Liaison between artist/artist team and 651
Manage correspondence with artist/artist team including meetings set up, note-taking and communicating timelines for meeting deliverables successfully
Coordinate communication about program assets (description, photos, rider, etc.) from artists to marketing, PR, production
Manage artist profile sheet on Microsoft Teams
Provide company and program management during all events, virtual and live
Work with the production department in the implementation of activities designed to develop ongoing relationships with members of the public, and related organizations including the coordination of logistics, invitations, and other tasks as assigned by the Director of Programs & Chief Curator.
Assist and coordinate the execution of contracts and LOI’s for artists and producing partners. Ensure they are developed thoroughly and executed sufficiently in advance of performances, programs, and other activities.
Support senior leadership in managing project budgets, payments to and receipts from artists, designers, and vendors.
Attend cultural events 2-3 times per month as directed by the Chief Curator & Director of Programs to expand industry knowledge of prospective artists, partners, and collaborators for season planning.
Draft and distribute written Program department materials including plans, proposals, memos, agendas, correspondence, and internal communications.
Manage current program season calendar including setting up meetings, document sharing, creating, and communicating timelines for meeting deliverables successfully.
Assist in maintaining the Chief Curator and Director of Programs’ day-to-day activities and schedule.
Work with the development team in providing details on programming and metrics for the timely submission of all grants proposals, applications, reports and supportive documentation for development and fundraising activities.
Compile, edit and organize assets for all presentations, programs, and performances. Act as liaison for the programming development for all print and marketing materials.
Serve as the liaison for the development of press releases, calendar listings, and other information to generate visibility for performances and programs.
Facilitate the delivery of all program and project marketing assets for the creation of press materials, as well as final proofreading and editing of all press materials.
Perform other duties as assigned.
Qualifications and Requirements: Competitive candidates for 651 ARTS’ Program Associate position will have/be:
Bachelor’s degree in the arts, culture, or entertainment
3-5 years’ related administrative coordination or producorial duties
Strong organizational and multi-tasking skills
Excellent oral and written communication skills
Proficient in use of various platforms including Microsoft 365 Suite, Microsoft Teams, Zoom, Eventbrite, and Vimeo
Ability to work in-person and remotely, and has deep knowledge of systems and software environments
Able to communicate the goals and concepts of 651 ARTS to the general public
Nimble and able to work in a fast-paced environment with multiple and multidisciplinary partners
Dependable, punctual, and detail-oriented
Self-directed and able to exercise good judgment
