We are currently seeking a highly organized, detail-oriented professional with a passion for the performing arts to join our dynamic team as the Production & Operations Specialist.
This full-time position requires strong organizational, logistical, and communication skills. The ideal candidate is a proactive problem-solver who thrives in dynamic environments and is passionate about supporting the performing arts in a university setting.
Key Responsibilities
Event Management
Lead and support the setup and staffing of performances, rehearsals, and academic events.
Coordinate equipment logistics for a wide range of events, including podiums, choral risers, chairs, and stands.
Manage a student team to assist with equipment transport, event setup, and strike.
Liaise with the DeBartolo Performing Arts Center (DPAC) Box Office and other partners to coordinate ushering and front-of-house support.
Track space usage and event data to inform staffing and budgeting decisions.
Attend design and production meetings to ensure operational readiness.
Scheduling & Planning
Engage with faculty, staff, and students to plan and execute events accurately.
Coordinate scheduling across venues and assign personnel to avoid conflicts.
Oversee hiring, training, and scheduling of student workers.
Equipment Coordination
Procure and coordinate the setup of specialized equipment, including pianos, percussion, and other instruments.
Partner with production teams and the Piano Technician to ensure all equipment is prepared and functional.
Maintain a comprehensive inventory system for equipment tracking.
Facilities Oversight
Coordinate with campus facilities for delivery logistics via loading docks and elevators.
Conduct regular inspections of assigned spaces and report maintenance issues.
Ensure a high standard of venue condition and functionality.
IT & A/V Support
Collaborate with the Arts & Letters Computing Office (ALCO) to inspect and troubleshoot A/V and IT equipment.
Arrange and provide basic A/V support for smaller events.
Coordinate with the Audio Engineer for large-scale performances.
Qualifications Skills & Experience
Proven ability to plan, coordinate, and execute events across multiple venues with exceptional attention to detail.
Strong organizational and scheduling skills; capable of managing complex calendars and prioritizing overlapping needs.
Familiarity with event logistics, including equipment handling, load-in/load-out procedures, and basic A/V setup.
Excellent interpersonal and communication skills with the ability to collaborate across departments and work with diverse stakeholders.
Experience supervising and training student workers or part-time staff.
Technical aptitude in managing event equipment and performance equipment (e.g., pianos, percussion, keyboard instruments) and coordinating with specialists as needed.
Ability to anticipate challenges, solve problems quickly, and adapt to changing circumstances.
Other Requirements
Willingness to work evenings and weekends as needed.
Ability to lift up to 100 pounds, climb ladders, and work in dimly lit or noisy environments for extended periods.
Comfortable working in a fast-paced, performance-oriented academic setting.
Additional Information Hiring Pay Range: Up to $60,000
