| Advancement Coordinator â (Fixed Term) The Thornton School of Music welcomes applications for the position of Advancement Coordinator. Overview:  Serves as the administrative coordinator for the entire advancement department. This includes things such as briefings/research, gift processing, new accounts creation, scholarship database management, and supervision of work study student workers. May also have a role in assisting with Annual Giving and Alumni Relations plus in-kind gifts. Primary Responsibilities: Administrative Responsibilities Manages all gift processing and deposits according to University Advancement protocols. Maintains gift tracking ensuring all gifts were allocated appropriately in Salesforce. Assists with creating all new gift accounts and tracking them in our internal chart of accounts Tracks all Advancement department expenses, initiates Internal Requisitions, JVs and DVQEs and reconciles ASRs. Coordinates student award applications process in conjunction with the Dean and appropriate faculty; also tracks the amounts in those award special funds (such as Norris competition fund) Manages all work-study Advancement Student Assistants conducting all hiring procedures, timesheet approvals and employee reviews. Submits requests for all advancement database record updates. Assists with the booking of all in-kind donations to the School communicating with donors as well as relevant faculty and staff to determine need. Produces mailing lists and oversees production and assembly of all departmental mailings Conducts prospect and donor research as requested for Dean, Associate Dean and team. Produces all briefings as requested for Dean, Associate Dean and/or appropriate Thornton staff and/or faculty in collaboration with Associate Dean and team or with Thorntonâs assigned University Advancement prospect researcher when necessary. Creates all donor/VIP parking reservations and communicates all relevant information to donor/VIP as requested. Supports Special Events Coordinator at all events as needed supporting setup, clean up and check-in, driving the cart and managing event RSVPs. Serves as primary point of contact for Office of Advancement answering phones and greeting in-person guests.
Manages and updates Advancement and Alumni website content. Manages the Alumni and Advancement email accounts. May be asked to assist with the Scholarship database which entails keeping fund restrictions up to date, donor contact information, stewardship information, etc.; in addition, may need to coordinate with Thornton Admissions to populate the scholarship amounts available for awarding on an annual basis; and finally, could potentially oversee the scholarship stewardship process which involves sending annual reports to donors. Provides general support for the USC Thornton Office of Advancement as requested.
In addition to the above, may be asked to assist with some of the following: Annual Giving Manages annual giving program for the School and in collaboration with University Advancement Office of Annual Giving including email and direct mail solicitation campaigns as well as all social network fundraising efforts. With consultation, determines and coordinates donor benefits for Deanâs Circle and Patronâs Circle. Writes all annual giving solicitations such as the annual Deanâs Communiqué, acknowledgements, gift solicitations and various advancement communications as needed. Manages the development of annual giving and alumni relations print materials in consultation with advancement team. Produces departmental reports and metrics on annual giving retention, acquisition and ROI. Serves as advancement department liaison to the Polish Music Center to support the centerâs annual giving program. Serves as Thornton representative on the Annual Giving Council managed by the University Advancement Office of Annual Giving.
Alumni Relations Identifies annual strategic goals for Alumni Relations in consultation with the team. Produces monthly alumni e-newsletter. Utilizing Marketing/Communication spotlights, identify prominent alumni and track their success for development purposes. Promotes alumni engagement through Accomplishments, News features, Spotlight articles, social media, USC Thornton CareerConnect, USC Thornton and USC websites and other publications as appropriate, Reunion events, annual USC Alumni Association and Half Century Trojans Awards as well as other University award programs and any other USC Alumni Association events or engagement opportunities. Provides alumni giving metrics, percent of lost alumni and alumni email or direct mail lists upon request. Serves as Thornton representative on the Alumni Relations Council managed by the USC Alumni Association. Responds to all alumni requests in conjunction with the team. Manages Alumni website and social media accounts on LinkedIn, Facebook and Twitter.
