Walnut Hill School for the Arts seeks a proactive, detail-oriented, and mission-aligned Admission Office Assistant to support both the day-to-day operations of the Admission Office and provide executive-level administrative assistance to the Director of Enrollment Management. This full-time, year-round position plays a vital role in delivering a professional, welcoming, and efficient experience for prospective families and school partners.
The Office Assistant is the first point of contact for many constituents—managing communications, scheduling, data systems, and visit logistics—while also supporting key projects, events, and initiatives that advance the School’s enrollment goals. The ideal candidate is a highly organized, tech-savvy, and service-oriented professional who thrives in a fast-paced, collaborative school environment and is excited to support the mission of an arts-based learning community.
This is a full-time (12-month) non-exempt position reporting to the Director of Enrollment Management. The weekly scheduled hours are Monday-Friday, 8:30 AM-4:30 PM with occasional evening and weekend hours for events.
Responsibilities include:
Front-Line Office Support:
Serve as the first point of contact for prospective families, visitors, and consultants; greet and assist guests in a professional and friendly manner;
Respond to general inquiries by phone, email, and in-person; route messages and follow-up to appropriate team members;
Schedule and coordinate campus visits, tours, interviews, auditions, and group events; assist in preparing materials and follow-up communications.
Administrative & Data Management:
Maintain and update student records and application data in the CRM (e.g., Ravenna, Slideroom, etc.); ensure accuracy, consistency, and timeliness of data across systems;
Process inquiry and application materials, including imports from online platforms; manage filing systems and mailings;
Support application tracking, admission documentation, re-enrollment tasks, and other aspects of the admission cycle.
Executive Assistant to Director of Enrollment Management:
Manage calendar, scheduling, travel, and communications on behalf of the Director of Enrollment Management;
Support strategic enrollment projects, reporting, and deadlines;
Assist with meeting preparation, agendas, and note-taking as needed;
Serve as a liaison between the Admission Office and other departments or external partners.
Event Coordination:
Provide logistical support for on-campus and virtual admission events, including Open Houses, tours, information sessions, auditions, and consultant or counselor visits;
Track RSVPs, prepare materials, coordinate with facilities/tech, and help ensure a polished visitor experience.
General Office Support:
Collaborate with team members to ensure smooth daily operations and positive outcomes;
Participate in ongoing training and professional development, and contribute to office systems, documentation, and process improvements;
Perform additional duties as assigned in support of enrollment goals and team success.
Position Requirements:
Bachelor’s degree preferred; relevant experience in admissions, customer service, or operations strongly considered;
Minimum of 2 years in an administrative, admissions, or operations support role—preferably in an educational, arts, or nonprofit setting;
Strong organizational and project management skills, with the ability to manage multiple priorities and meet deadlines;
Exceptional written and verbal communication skills;
High attention to detail, professionalism, and discretion in handling sensitive data;
Customer service orientation with a warm, responsive, and inclusive approach to families and colleagues;
Proficiency with Microsoft Office, Google Workspace, and CRM/databases (experience with Slideroom, Ravenna, or similar a plus);
Cultural competence and demonstrated commitment to diversity, equity, and inclusion;
Interest in and/or experience working with international students and families;
Ability to work independently and as part of a team in a fast-paced environment;
Genuine interest in the arts and education, and enthusiasm for contributing to a creative, student-centered school community.

Physical Demands
Physical demands include dexterity for office machine and supply operation including but not limited to writing, typing, using electronic devices, computer, phone, calculator, copy machine, fax machine, and printers. Stooping, bending, traveling to/from locations on campus, ascending/descending stairs, reaching and sitting or standing for extended periods of time are common.
