The Program Coordinator, Student Involvement (PCSI) is a member of a team of professionals within the Student Activities Office (SAO) responsible for the active advising and support of student clubs and organizations, as well as training and leadership development in support of student leaders at the University of Notre Dame, recognizing the importance of student involvement in student success and community on campus. As a member of the Student Involvement Team, the PCSI supports the recognition, registration, event support, and policy compliance of 500+ clubs and organizations. The PCSI provides direction and assistance to major student organizations such as the First Undergraduate Experience in Leadership and a class council, and is a resource for student leaders in planning and executing programs as well as developing leadership skills. The PCSI reports to the Assistant Director for Student Involvement, and is a full-time 12-month position with a significant amount of late night and weekend programming responsibilities throughout the academic year, as well as some limited evening and weekend responsibilities throughout the summer.
Specific Duties and Responsibilities:
Serves as Activities Liaison for over a hundred clubs, ensuring successful programs and compliance with University policy; Assists student clubs and organizations with the development and facilitation of their large scale events, including concerts and special events.
Reviews submissions for SAO departmental approval ranging from dances to food services; Serves as resource on contract matters and liability/risk avoidance; Supports various administrative responsibilities of the main office and other parts of the 20 person SAO staff team as necessary.
Serves as member of team responsible for more than 500 clubs and organizations, including their recognition, registration, event approval and execution, travel and observance of University policy; Coordinates concession stand program for student groups to fundraise on home football game days.
Provides training for student club and organization leaders regarding tools for being a successful student leader at Notre Dame and other leadership curriculum, as well as training and communication for club and organization advisors (full time ND faculty and staff); Holds regular, published office hours for students with questions or concerns about programs to drop in for resources and support, and is seen as an approachable resource for students.
Advises or co-advises specific Student Government groups such as the First Undergraduate Experience in Leadership or class councils in administering their budgets, policies, operations, leadership development and in ensuring continuity from year-to-year; Attends meetings and events of advising groups, and meets separately weekly with the leadership of the organizations.
Coordinates annual Activities Night fair in September and Student Leadership Awards process and banquet in April; Supports implementation of beginning of school year student leader retreat and leadership programming for students throughout the year.
Provides on-site supervision of designated events as Event Manager to oversee use, admission receipts, compliance with policies, hospitality for performer(s) and to assist in problem resolution in any of the SAO centers and venues.
Participates as an integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Gender Relations Center, Multicultural Student Programs and Services, Office of Student Enrichment, Office of Community Standards, RecSports, University Bands, Family Resource Center and student media groups.
Candidates must possess a bachelor’s degree; preferred candidates will have a master’s degree, ideally in college student personnel, counseling, higher education or a related area.
The successful candidate will have experience with student group advising, large scale event planning and departmental administrative responsibilities.
Qualifications include advanced understanding of personal computers (including desktop publishing), strong organizational skills and the knowledge of and desire to develop cutting edge leadership and social programs.
Additional qualifications include exceptional communication and interpersonal skills necessary to deal effectively with a diverse group that includes students, staff, faculty and the public.
