The Department Administrator plays a pivotal role in the support of the College of Fine Arts. Working as part of the College of Fine Arts staff team, this position supports the College of Fine Arts as a whole, as well as specifically supporting the School of Dance. The Department Administrator is the first point of contact for prospective students and current students. This position represents the School of Dance and CoFA as an administrative liaison to internal and external contacts. This position manages complex academic and administrative processes. This is a part-time, term position with the requirement to work on campus.
Supports the general functions of a wide variety of academic or administrative units including answering phones. Greeting/referring/assisting visitors, customers, staff, or others, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, analyzing data including budgetary expenditures, and providing high level administrative assistance to the School Director and executives.
Assists faculty and staff with substantiation of administrative expenditures in Concur and Bobcat Buy and ensures compliance to university policy.
Coordinates office supply needs, manages key access and creating and tracking facilities work orders as needed. Identifies needs and coordinates operations in building. Helps coordinate special events and projects that require high level coordination with multiple constituents. Support College-wide visits including but not limited to prospective students and families, prospective faculty and staff, alumni, donors, and external partners. Includes organizing logistics, travel, on-site engagements and materials.
Works as part of the CoFA Finance team attending group meetings, assisting with college wide initiatives, and providing support to other team members and the college as needed. Support curricular and non-curricular engagement in the College. Includes managing calendars and reservations for performance and rehearsal spaces throughout the CoFA portfolio. Other duties as assigned. The successful candidate must have excellent computer and office skills.
Minimum Qualifications:
Bachelors and at least one (1) year of related work experience. Equivalent education and related experience will be considered.

Recording of plenary sessions that is intended for broadcast or webcast requires prior arrangement and permission through APAP;
Advance scheduling is required for all filming during exhibit hours;
Advance scouting, without cameras, is required;
All camera crew personnel must wear press badges, and badges must be visible while on the exhibit floor;
All camera crews will be escorted by a representative of the Conference while on the exhibit floor;
A list of filming needs, indicating company name and booth number, must be approved by APAP in advance of any filming;
Permission must be granted by each exhibitor before any filming begins. Camera crews must provide release forms before filming;
If you ?need power, other than battery pack, advance arrangements are required and can be arranged by contacting Leah Frelinghuysen;
You will be responsible for any costs related to electrical needs;
Interviews for exhibitors in the EXPO Hall should be scheduled up to one week before the conference starts (January 10, 2020) and advance scheduling is required for all filming during exhibit hours
