As a member of the Student Activities Office (SAO), the Program Coordinator, Graduate Student Life (PCGSL), works within the Graduate Student Life team, in partnership with the Graduate School, in support of realizing the department’s mission to enhance the educational experience of and quality of life for Notre Dame students pursuing advanced degrees. The PCGSL collaborates with a wide array of campus departments in the planning, implementation, management, and assessment of year-round social, educational, and academically focused events for graduate students. The PCGSL is responsible for providing support for 50+ recognized graduate student clubs, offering guidance, support, and resources to graduate student leaders, while ensuring ongoing compliance with University policy. The PCGSL is responsible for updating and maintaining the official Graduate Student Life social media accounts, including managing the department’s presence within the ND Mobile App.
The PCGSL reports to the Program Director for Graduate Student Life, and is a full-time 12-month position with a significant amount of evening and weekend responsibilities.
Essential Duties and Responsibilities:
Plans and implements regular social and educational programming on behalf of the department, including large annual events such as the Summer Soiree Series and Graduate Student Appreciation Week; Collaborates with other departments across campus to create events to help graduate students have a holistic experience during their time at graduate school. Reviews submissions for SAO departmental approval ranging from dances to food services; Serves as resource on contract matters and liability/risk avoidance; Supports various administrative responsibilities of the main office and other parts of the 20 person SAO staff team as necessary.
Provides programmatic support for and partners with the Family Resource Center on no less than two programs a month, specifically geared towards married, parenting, and pregnant graduate students.
Manages and assesses various departmental initiatives, including the Writing Accountability Groups program; Oversees the application process, selection, and distribution of GO Grants.
Assists and supports the Program Director in the development and implementation of major departmental events, in partnership with the Graduate School, including Graduate Student Orientation and the Peer Mentoring Program.
Serves as Activities Liaison for all graduate student clubs, functioning as the main point of contact for students on behalf of SAO, and ensuring successful programs and compliance with University policy; Assists student clubs and organizations with the development and facilitation of their large scale events; Reviews submissions for SAO departmental approvals; Serves as resource on contract matters and liability/risk avoidance.
Oversees ongoing stewardship of Graduate Student Life social media, ND Mobile App presence, and other existing promotional channels; Works closely with Graduate Student Life Program Director and other communications staff within Student Affairs in development, delivery, and assessment of promotional materials for departmental programs, services, support, and resources to students and other key stakeholders.
Provides on-site supervision of designated events as Event Manager to oversee use, admission receipts, compliance with policies, hospitality for performer(s) and to assist in problem resolution in any of the SAO centers and venues.
Supports the development of goals and student learning outcomes for SAO programs, and the assessment of these goals and outcomes; Supports various administrative responsibilities of the main office and other parts of the 20+ person SAO staff team as necessary.
Participates as an integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Office of Community Standards, RecSports, University Bands, Family Resource Center, and student media groups.
Candidates must possess a master’s degree, ideally in college student personnel, counseling, higher education or a related area. The successful candidate will have experience with student group advising, large scale event planning and departmental administrative responsibilities; preference will be given to candidates with prior experience working specifically in the service of graduate student populations. Qualifications include advanced understanding of personal computers (including desktop publishing), strong organizational skills and the knowledge of and desire to develop cutting edge leadership and social programs. Additional qualifications include exceptional communication and interpersonal skills necessary to deal effectively with a diverse group that includes students, staff, faculty and the public. The successful candidate will also possess a commitment to fostering Judeo-Christian values, consistent with the mission of a Catholic university founded by the Congregation of Holy Cross.

Recording of plenary sessions that is intended for broadcast or webcast requires prior arrangement and permission through APAP;
Advance scheduling is required for all filming during exhibit hours;
Advance scouting, without cameras, is required;
All camera crew personnel must wear press badges, and badges must be visible while on the exhibit floor;
All camera crews will be escorted by a representative of the Conference while on the exhibit floor;
A list of filming needs, indicating company name and booth number, must be approved by APAP in advance of any filming;
Permission must be granted by each exhibitor before any filming begins. Camera crews must provide release forms before filming;
If you ?need power, other than battery pack, advance arrangements are required and can be arranged by contacting Leah Frelinghuysen;
You will be responsible for any costs related to electrical needs;
Interviews for exhibitors in the EXPO Hall should be scheduled up to one week before the conference starts (January 10, 2020) and advance scheduling is required for all filming during exhibit hours
