POSITION SUMMARY:

Reporting to the Assistant Vice President of Philanthropy, the Annual Giving Coordinator is responsible for implementing a comprehensive Annual Fund plan and coordinating initiatives to achieve maximum revenue results. The Annual Giving Coordinator is an essential member of the team responsible for a $2 million Annual Fund, with specific responsibility for raising $700,000+ from Annual Fund donors who contribute up to $2,500. The Annual Giving Coordinator is also responsible for developing and nurturing positive relationships with all donors to keep them engaged with the Symphony’s mission and funding needs.

MAJOR RESPONSIBILITIES:

• Guided by the Assistant Vice President of Philanthropy, coordinate and implement an effective annual giving program for individuals including design, content, production, and evaluation of direct mail, telefunding, online giving, text giving, website, social media, other broad-based campaigns and stewardship projects, and personal solicitations
  • Develop content for solicitations and communications
  • Collaborate across departments on scheduling, production, and messaging
  • Prepare project request forms and ensure the edit and approval process meets timelines
  • Manage relationships with external vendors
• Ensure the achievement of revenue and patron loyalty goals for Annual Fund donors
• Coordinate a comprehensive annual giving calendar, ensuring project deadlines are met
• Monitor, on a weekly and monthly basis, progress toward Annual Fund goals including revenue and patron loyalty metrics, and provide analysis to strengthen broad-based initiatives
• Guided by the Assistant Vice President of Philanthropy and in coordination with the Database & Fulfillment Manager, coordinate stewardship for individual donors
  • Facilitate donor benefits arrangements including Open Rehearsal planning and communication, VIP parking, and donor room passes, and other individual donor benefits
  • Pull weekly concert lists and coordinate action steps for every concert, including communicating with trustee hosts
• Provide project management and administrative support for the Annual Fund program:
  • Manage quarterly in-house renewal letters mailings
  • Ensure Annual Fund RO letters are copied, filed, and mailed in a timely manner
  • Prepare printed and digital materials for meetings with Annual Fund donors and prospects
  • Enter contact memos and assist with keeping the database current and accurate
  • Maintain inventory of letterhead, notecards, envelopes, postage stamps
  • Track budget and expenditures for the Annual Fund program, and coordinate processing invoices
  • Serve as back-up to Database & Fulfillment Manager for processing donations and acknowledgements
• Provide project management and administrative support for the Philanthropy department and special events as needed.
• Perform concert duty and other responsibilities or assignments as needed

Because driving between worksites and to various locations may be a central function of the position, administrative staff must maintain a valid driver’s license and have reliable transportation.

• Bachelor’s degree and at least one year of experience in Philanthropy required, with experience in performing arts preferred
