In collaboration with various Taskforces, plans and produces informative, engaging and productive events from conception to completion. Events include an annual conference & tradeshow, professional education events, and a legislative event. Duties include creating marketing materials that drive attendance and participation, and the solicitation and acquisition of sponsorships and advertising for all events. This position also includes managing and editing the FSNA website, managing the weekly newsletter and managing social media posts.
Responsibilities:
Researches event locations, creates and tracks RFPs, conducts site visits, researches local area activities & restaurants, assists with contract negotiation.
Manages reservations of all sleeping rooms, meeting rooms and exhibit space before, during and after meetings. Acts as liaison to hotel or conference center for all events and meetings. Reviews event related invoices for accuracy.
Communicates meeting room set up, F & B requests, audio/visual needs, music licensing, non-education activities & decorations for events.
Works with subcontractors to solicit bids, for audio/visual services, booths, entertainment, etc. and manages their work at events.
Works with taskforces to establish conference themes, logos, activities, policies and procedures, schedules, and timelines.
Develops marketing materials to attract vendor participation in trade show and sponsorships. Assures consistent and increasing vendor participation in tradeshow.
Solicits sponsorships and ensures fulfillment of benefits.
Manages trade show from conception to reconciliation of payments. Carries out activities within budget and time frames.
Acts as liaison between exhibit hall management company and FSNA on all safety, exhibition, load-in, regulations, etc.
Creates decorations, organizes FSNA inventory, creates vendor packets, creates signs, and other misc. conference associated tasks.
Creates exhibit hall map/layout for prospectus and online (app).
Staff liaison to Sustaining Industry Partner Committee.
Participates in strategic planning and other important planning and development meetings.
Essential Functions of the Job:
Ability to problem-solve, learn quickly, self-direct, read detailed documents, and concentrate for several hours at a time.
Ability to work in a busy, deadline-oriented office environment, and on-location event environment.
Ability to lift and carry items up to 40lbs.
Ability to stand for long periods of time – up to 12 hours and work long hours at events.
Ability to operate a car and van.

Qualifications:
Demonstrated proficiency in written communications that are free of typos and grammatical errors.

Requirements:
A Bachelor’s degree in Communications, Business, Event Planning or related. Associate’s degree and work experience may be substituted for a Bachelor’s degree.
At least 4 years event planning experience, (including trade show).
At least 3 years experience writing and editing professional and creative articles, documents or promotional materials.
