Job: Department AdministratorJob Summary: Reporting to the Chair of the Theatre Department, the Theatre Department Administrator is responsible for managing all financial, administrative and operational aspects of the Barnard College undergraduate Theatre Department/Columbia University Major in Drama and Theatre Arts. The Administrator works with the Chair in planning and performing work related to the operations of the department, including day-to-day and long-range functions and oversees the Department's extensive curricular and production activities. This position is a 10 month position from September - June each year.Job Description: 1. Reconcile the budget and expense reports; assist the Chair in short-term projecting and long-term planning of department expenditures. Coordinate with Production Manager and Chair on annual Production budget. 2. Manage the department office and the department's physical plant and equipment. Supervise department academic purchases and deliveries, standing purchase orders, and service contracts for major equipment. Coordinate with Director of Production, Costume Shop Manager, Technical Director and full time faculty on purchases. Oversee use of Theatre facilities by non-department users. Coordinate and respond to all requests. Develop and implement policies and procedures for use of the facilities. Coordinate with Director of Production regarding the interface between academic budget, managed by the Theatre Administrator, and the Theatre Production budget, managed by the Director of Production, but overseen and reported end-of-year by the Administrator. Maintain the department records and files in paper and digital form. In consultation with Chair, coordinate office use and office hours of adjunct faculty and graduate assistants.
3. Prepare materials related to the employment and review of instructional staff including: Completion of faculty action forms and ensure proper processing Preparation of proposals and dossiers for faculty tenure, promotion and reviews Departmental searches, including communication with applicants and scheduling job talks and campus visits Maintain up-to-date curriculum vitae Coordinate with Departmental Assistant
4. Responsible for creating and preserving orderly student procedures and records. Act as a resource for students regarding the technical aspects of pre-registration, registration, enrollment, advising, and nonacademic activities of the department. Work closely with the Departmental Assistant, who oversees course planning, website, etc. Be familiar with the undergraduate curriculum, requirements, and practices. On occasion, meet with visiting potential Barnard/Columbia undergraduate students; explain both the curriculum and the way production works. Advertise, hire, and train work-study students doing administrative work; facilitate the hiring of work study students conducting research assistance for faculty. Assist Chair in planning and preparing program planning meetings; develop handouts. Coordinate collection and distribution of thesis proposals; maintain archive of thesis casebooks; communicate with library about thesis holdings, and about documenting departmental productions. Manage audition process; work with faculty to generate class and cast lists; trouble shoot class and cast placement problems. Attend evening auditions twice annually; coordinate call-back lists for productions and distribute to students following audition; coordinate cast lists and notify students of casting following casting. These typically involve one evening late on campus and considerable correspondence with faculty and student directors during the week.
5. Responsible for the management of department events and productions. Arrange for housing, transportation, and parking for guest lecturers, faculty and artists. Maintain general Theatre listserv, majors listserv, and alumni listserv Coordinate press releases, maintain publicity archive, coordinate photography and videography for department events and distribute photos and videos. Prepare production programs. Oversee production elements of departmental website and social media. Act as liaison with other College and University-wide offices. Arrange for payment for visitors and classroom tickets from the Dasha Epstein fund.
6. Performs additional duties and responsibilities as needed. Salary: $60,000 - $65,000 annually, paid September - June. Skills, Qualifications & Requirements: Knowledge, Skills, and Abilities Excellent communication skills; facility in the preparation of written material for the public especially important. Understanding of the academic mission of the college and department. Excellent organizational skills. Ability to set priorities and balance competing demands Strong writing and proofreading skills Tact and good judgment in dealing with faculty, staff, students and the public Ability to take initiative, to follow up on administrative matters, and to work with a high degree of autonomy Ability to follow up, often repeatedly, to ensure that visitors, designers, etc. are paid; ability to follow up on faculty concerns.
Qualifications Bachelor's degree with 3-4 years' related experience in office management Demonstrated ability to plan, prepare and administer budgets. Excellent computer skills and experience with Microsoft Office Suite programs, including spreadsheets. Familiarity with Workday a plus.
Preferred Qualifications Experience in theatre and/ or theatre administration Familiarity with academic administration Experience with budgetary management programs, such as Workday, preferred.
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.
