The Principal Librarian drives an energetic three-person team responsible for the fast-paced music library for the National Repertory Orchestra. The library team manages the preparation, distribution, and collection of all orchestral parts throughout the duration of the festival, including concerts, special events, and runouts. The Principal Librarian reports to the Director of Operations and Education and is the primary contact regarding library concerns between the Music Director, Guest Conductors, Production Manager and Orchestra Manager to ensure effective communication regarding library information among the staff and clear dissemination of information to the orchestra. What You Will Do: Organize and facilitate the daily functions of the orchestra library include but are not limited to: - Research publishers, acquire and return rental music
- Collaborate with other orchestras on music loans
- Assess fees for lost or damaged music
- Provide quality customer service; customers defined as all stakeholders
- Maintain the music rental budget
- Serve as principal librarian for orchestra concerts; assign library staff concert duty
- Supervise assignments for Library Bowing Assistants (musician work-study)
- Maintain and update library catalog
- Identify and implement improvements for the library systems (catalog, library storage, OPAS)
- Prepare practice parts
- Maintain an inventory of new acquisitions and rental music; inventory all library and trade holdings
- Provide parts to string principals and/or conductors for bowing masters
- Set the stage prior to rehearsals and concerts
- Manage part check-outs for musicians
- Determine and communicate orchestration and instrumentation needs
- Repair music
- Create page-turn inserts
- Lead the pre-season and post-season set-up and break-down of all music library equipment
- Assist the Community Engagement department with chamber music needs
- Manage repertoire within OPAS
- Manage potential opportunities to provide or create original orchestrations, arrangements, and compositions.
- Create and maintain annual “How-To” document for position
- Other duties as assigned
Remote Pre-Season Work Includes but Is Not Limited To: - Interview Assistant Librarian and Library Fellow candidates
- Arrange for all orchestra music for the summer
- Update OPAS with season repertoire (inputting new works as necessary), and tag repertoire to every performance
- Identify and communicate instrumentation needs
- Select six library bowing assistants (musician work-study)
