This position works a hybrid remote format, requiring a telecommuting agreement and adherence to the UCSC Telecommuting/Remote Work Guidelines. The employee shall be available in a full-time capacity during assigned telecommuting work hours (specific hours to be discussed with supervisor). While telecommuting/remote working, the employee is responsible for ensuring a worksite environment suitable for accomplishing their regular job duties during scheduled hours of work, just as they would if they were working at the regular UCSC worksite.

20% - Department Planning, Administration and Program Support
Coordinates department academic operations. Assesses research, instructional, technical, and administrative needs of the department.
In conjunction with the Department Chair, develops strategic plans and initiatives.
Coordinates and contributes to departmental self-study for external reviews.
Supports Chair in communicating vision and goals of the department both internally and externally. Serves on committees and task forces as requested by Campus or Division.
Coordinates and secures departmental space, facilities, and equipment; advises Chair on allocation of space; prepares justification for facilities and space modifications.
Oversees outreach efforts (e.g. alumni relations, public relations, student recruitment, department fundraising), special events, and departmental publicity. Oversees maintenance and updating of department website.
Helps Chair set faculty meeting agendas. Attends faculty meetings. Represents department on committees and task forces as requested by Campus or Division.
Adapts priorities and workflows as needed in consultation with Chair.
20% - Financial Planning and Budget Management
Manages department operating budget, Temporary Academic Staffing (TAS), graduate program allocation (e.g. Masters Incentive Fund), and endowments and gift funds; initiates Transfer of Expense (TOE), Transfer of Fund (TOF), and Purchase Order (PO) liquidations.
Prepares for and manages Fiscal Close.
Provides information to Department Chair on all Department budgets and staffing and budget; prepares analysis and information for programmatic planning and requests for additional funding and equipment. Advises the Department Chair in setting the annual budget, approves and tracks all approved expenses using departmental shadow budget and internal reporting systems (e.g., InfoView) for reports. Ensures all spending is within budget, credited/debited from the correct account, and spent in line with approvals.
Serves as liaison with Division Business Office and other campus units; submits TAS budget and funding requests; delegated signature authority on departmental accounts.
20% - Academic Human Resources
Provides access to academic personnel policies and procedures for Chair, faculty, lecturers, and other instructors. Assists chair in interpretation of policies.
Manages recruitment process for faculty and other academic searches.
Prepares and/or oversees preparation of recruitment, appointment, reappointment, merit and promotion files for academic employees.
20% - Staff Human Resources
Supervises department staff. Facilitates staff meetings, conducts hiring, trains staff, assigns and monitors workloads, evaluates performance, and implements corrective action as necessary. Recommends salary actions, promotions, and terminations.
Assists Chair in interpreting personnel policies and union contracts.
Promotes professional development opportunities and acts in accordance with EEO/AA policies and practices.
20% - Curriculum Coordination and Planning
Supports Chair in delivery of departmental instruction: Prepares annual curriculum and leave plan for approval by Chair. Oversees scheduling of courses, oversees course approvals, and catalog copy preparation.
Recommends allocation of resources (e.g. Temporary Academic Staffing, TAs, instructional equipment) to individual courses; oversees allocates instructional space in conjunction with the Office of the Registrar, Summer Session, etc.
Monitors enrollment statistics and, in coordination with Undergraduate Advisor, recommends adjustments to course offerings and instructor assignments based on student demand and available resources.
Coordinates summer course offerings in conjunction with program directors and relevant campus units.
Supervises and supports Doctoral Student Advisor and Undergraduate Advisor with program admissions and events.
Bachelor's degree in related area and/or equivalent experience/training.
Related administrative experience, including training, supervising and supporting staff.
Demonstrated leadership experience with ability to effectively manage change, resolve complex problems independently and/or in consultation with others.
Excellent reading and writing skills and ability to analyze, interpret, and communicate complex material in written and oral formats.
Ability to establish and maintain effective communication and working relationships with diverse constituents.
Ability to demonstrate and promote administrative innovation, quality customer service, teamwork, active listening, open channels of communication and a safe work environment for diverse department members and students.
