All people are created equal and deserve and equal chance to pursue the American Dream Position Overview: The Senior Events Coordinator will work closely with the National Events Manager and other members of the team to produce a variety of events across all ACE Scholarships markets, including board meetings, cocktail receptions, large scale fundraising events, and additional events as they arise. A successful candidate will be extremely organized and be able to manage the logistics of multiple events simultaneously. ACE Scholarships has a reputation for throwing exceptional, high-end and major fundraising events. We are an events driven organization that will allow for growth and creativity. Primary job duties and responsibilities - Develop and manage project timelines and action plans in collaboration with departments and ensure all deadlines are met
- Provide logistical pre-event planning, on-site execution, and post event wrap-up to include briefings, surveys, and budget reconciliation
- Assist in site selection, contracting and negotiation process.
- Coordinate across internal teams for presentations, speakers, other materials as needed
- Determine the event criteria and compose a detailed event document with individual instructions to each department
- Provide logistical pre-event planning, on-site execution, and post event wrap-up to include briefings, surveys, and budget reconciliation
- Research vendors, compare prices, prepare contracts and payment requisitions
- Maintaining a working relationship with vendors and venues
- Understanding the complex needs of different events, and diverse markets
- Planning event aspects from start to finish, such as event registration, venue, vendor selection and management, seating, dining, and audio visual run of show scheduling,
- Coordinating event entertainment, including music, performers, and guest speakers
- Provide post event feedback and improvement areas to National Events Manager
- Collecting invoices and ensuring payment of vendors
- Adhere to approved event budgets, monitor expenses and opportunities for savings, and maintain detailed records/receipts for financial accounting
- Supporting the National Event Manager on event day, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and overseeing take-down
- Manual labor pre and post event ensuring event is set up and/or cleaned up correctly
- Anticipating and planning for possible different scenarios
- Strong communication skills, and the ability to present event ideas and plans to team and vendors
- Draft talking points and prepared remarks for speakers at select events
- Support with event collateral development
- PR / event promotion / media relationships
- Ensure quality, design consistency, data integrity, and timeliness of deliverables.
- Under the direction of the National Events Manager, support the growing event needs of the organization across all states, including event communications and other responsibilities as needed.
- Communication support as needed
- Ability to work independently
- Other Ad Hoc assignments as necessary

Minimum Requirements - Bachelor’s degree in Communications, Hospitality, Event Management, or similar degree; or equivalent professional experience
- 1-3 years of experience in event coordination/management
Location and Reporting - Position will be based in Denver, CO/Denver Tech Center
- Reports to National Events Manager, no direct reports
FLSA Status Exempt
Travel ~10-15%, can service anywhere from 5-10 out of state events per year. Compensation $60,000 - $72,500 salary (DOE) and benefit package, including health, dental and vision insurance; 401(k), with corporate match; plus other benefits.
