Department Specific Responsibilities

• Responsibile for the operational and financial success of over 250 events annually occurring at the Auditorium and its offsite venues and programs.
• Responsible for the marketing, sales, booking, and logistics for all facility rental events at IU Auditorium and its ancillary venues, and coordinates scheduling of events, maintaining the master calendar for IU Auditorium and its offsite venues.
• Directly supervises the IU Auditorium Guest Services and Events departments, as well as the hospitality team, and ensures that all event staff members are adequately trained in client and guest service, safety, security, and other areas that affect the quality of the event experience.
• Primary liaison between venue staff and clients for public and private events (including performances, lectures, receptions, concerts, IU Board of Trustees meetings, and other high-profile functions), and interacts frequently with donors, performers, university and community clients, VIPs, and the general public.
• Upholds the values of the student-staff partnership, creating and supporting student development opportunities for employees, volunteers, and clients.
• Responsible for preparing event budgets, estimates, license agreements, final billing/settlements, and reports.
• Assists with negotiating third-party vendor contracts, including concessions, equipment, parking operations, security, and event-related software, and builds and maintains relationships with various other vendors who are essential to the successful presentation of events.

General Responsibilities

• Provides day-to-day operational management of event services staff.
• Establishes short-term operational objectives.
• Identifies operational issues and/or areas of improvement and implements solutions to improve processes and/or operational efficiency.
• Analyzes, monitors, and evaluates performance of assigned staff; establishes work priorities, conducts performance reviews, and provides corrective action as needed.
• Ensures adequate staffing and effective scheduling; participates and informs employment decisions for assigned staff.
• Provides direct supervision and oversight of assigned staff and activities; impacts, and is held accountable for, the performance of team and/or assigned staff.
• Ensures and provides training to assigned staff to improve event services; researches and identifies development opportunities for assigned staff.
• Researches and stays up-to-date on new industry event services standards, best practices, and emerging technology; keeps next-level leader(s) informed of trends as well as significant problems.

EDUCATION

Required

• Bachelor's degree in business or related field

WORK EXPERIENCE

Required

• 2 years in business, conferences, events, customer service, or related field

Preferred

• 5 years experience in guest and client services with demonstrated competency in planning and organizing operational logistics of performing arts, banquet, and other events at mid- to large-scale venue highly desired.

This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 lbs. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. This role requires the ability to move quickly up to five miles during the course of a normal shift through crowds, ascend and desend to different floors of the building, and in all weather conditions.The person in this role must be able to perform the essential functions with or without an accommodation.
