Maintains all student records, electronic and paper, active and archived for approximately 750 active undergraduate students in six degree programs, with over 180 major and minor concentration areas, as well as certificate programs.
Implements policies and procedures pertaining to student records, enrollments, grade reporting, office workflow, and degree and certificate progress. Oversees record confidentiality, maintenance, and archives. Manages day-to-day records activities and workflow.
Provides information and advice to faculty regarding student enrollment, grading, scheduling, roster compliance, and related university and school policies.
Responds to inquiries from current and prospective students, faculty, staff in other IU offices, and the public.
Processes special credit, AAR exceptions, grade changes and CART requests.
Processes all aspects of graduation from applications to final review.
Administrator of all recitals, upper division exams, juries and performers' certificates.
Produces and analyzes regular reports in maintenance, orientation, graduation, batch processes, enrollment statistics.
Serves as back-up to the front desk.
Hires, trains, schedules, and monitors work product of data entry staff; ensures accuracy and completeness of operations; ensures smooth flow of operations. Oversees processing of all employee and payroll forms.
Serves as informational resource to staff; provides technical guidance; assists staff in resolving problems involved with operations; answers staff questions regarding policies and procedures.
Responds to outside inquiries regarding operations; investigates and resolves problems, complaints, or discrepancies.
Monitors inventory of office supplies and forms; orders as necessary.
Compiles and analyzes data entered and prepares any needed reports. Analyzes operations and makes recommendations on improvements.
Oversees the maintenance of any required files.
Evaluates forms used in collecting data; recommends improvements.
High school diploma or GED

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
