The Administrative Assistant to the Office of Admission position is a full-time position reporting directly to the Director of Enrollment Management and Financial Aid. The person in this role will be the first face seen by those visiting the admission office, advancement office, and business office and must be able to create a warm and welcoming environment for visitors, employees, students, families and the general public. This role is responsible for cordially greeting and directing visitors, notifying school employees of visitor arrivals, answering inquiries and obtaining information, and providing general support for various functions as well as supporting the admission office and the Director of Enrollment Management.
Duties and Responsibilities:
Welcome families and/or guests to The Potomac School, which may include using a visitor management system.
Support the Admission Department with various duties including checking in visitors, scanning and data entry of confidential information, answering inquiry phone calls from prospective families, and assisting with calendar and event management.
Aid in annual admission goals, attend events such as open houses, fairs, and welcome receptions.
Using a multi-line phone system, answer and direct incoming calls in a timely manner, utilizing proper telephone etiquette.
Notify faculty and staff members if they have a visitor in the Lobby.
Keep lobby area and front of building clean and organized.
Process incoming checks/cash for Finance, Development, Extended Day, Private Music and Summer Programs.
Assist other administrative and operations departments, located in the Flag Circle Building, with administrative duties as requested.
Maintain a working knowledge of current Potomac faculty, staff, students and parents as well as daily activities on campus.
Complete other duties as assigned.
Must have a high school diploma; an associate’s or bachelor’s degree is a plus.
A minimum of two years’ of related work experience; prior school related experience is a plus.
Must exhibit excellent interpersonal, organizational, collaborative, and technical skills
Proven customer service orientation with the following qualities and attributes: positivity, integrity, attention to detail, and a commitment to excellence.
Ability to communicate effectively and professionally in verbal and written form and establish and maintain effective working relationships with employees, parents, students, administrators, and visitors.
Strong knowledge of computer applications including MS Word, MS Excel, and e-mail.
Ability to maintain confidentiality.
Ability to work under pressure, identify problems, and establish priorities.
