OVERVIEW: Emeritus Professors in Columbia (EPIC) constitutes a professional and social fellowship of retired professors, researchers, and administrators who share the common experience of extensive careers in education and wish to pursue intellectual interests or render further service to the University community. EPIC is administered by an Executive Committee and Steering Committee of its members. It is funded through contributions and the Office of the Provost. It is a distinct membership organization with its own Charter, EPIC electing its own officers, appointing its own committees, organizing its own programs and activities, and managing its relations to other University offices and assorted external communities.
JOB SUMMARY The responsibilities of the Assistant Director of EPIC are to administer and enhance existing services, programs, and resources for retired and retiring faculty and senior administrators as well as to develop additional services and programs through creative management and understanding of the needs of this valued population.
Reporting to the EPIC President and Executive Committee: (75%)
??? Organize approximately 30 annual events for retirees including faculty talks, graduate student seminars, musicales, panel discussions, symposia, receptions, and occasional guest lectures, including identifying and inviting possible speakers in collaboration with the President of EPIC and its Program Committee. ??? Conduct communications efforts to recruit members to EPIC including an annual membership drive, periodic emails, event invitations, biweekly newsletters during the academic year, updating website content, producing brochures and posters as needed ??? Promote, administer, build and design the organizational details for new program initiatives suggested by the Executive Board of EPIC, such as the documentary film series and music initiative ??? Maintain and expand EPIC???s collaborative programs with other University departments, offices, and organizations including Human Resources/Benefits, the Office of Faculty Advancement and other Office of the Provost divisions. Recruit and guide speakers for programs and assist them in developing their talks and presentations
??? Prepare, administer, and submit yearly budget for EPIC monitor and create quarterly projections for program expenses, process purchase orders, vouchers, invoices, travel and expense reports, honorarium, reconcile payments, perform internal transfers, collect contributions and prepare ad hoc budget reports for approval; prepare reports and explain projections and spending when attending semi-annual budget meetings with the Director of Finance and Administration of the Office of the Provost and senior EPIC leaders
??? Act as a liaison providing outreach with departments across the university to ensure that they receive the appropriate benefits. Assist in advocating for the needs of EPIC members and other retirees to various offices of the University by maintaining relationships with University offices including Human Resources, Office of Work/Life, CUIT, Libraries and faculty retirement organizations at peer institutions ??? Recruit, manage and have daily oversight of the work-study casual. ??? Create procedure and operations manuals and adhere to Columbia University-wide policies ??? Oversee and manage the program calendars, prepare appropriate print and web materials to facilitate meetings, and oversee the office activities database ??? Maintain a list of relevant resources at the University and beyond and direct individual retirees or prospective retirees to resources available to them ??? Performs related duties as assigned
Reporting to the Provost???s Office (Office of Work/Life): (25%)
??? Organize periodic special events for retirees including an annual health benefits meeting, periodic other events of special interest to prospective retirees for the Office of Faculty Retirement and the Office of Work/Life ??? Attend Office of Work/Life team meetings and participate in workshops and relevant additional meetings to broaden knowledge of lifecycle issues and resources ??? Prepare, administer, and submit yearly budget for Office of Faculty Retirement; monitor and create quarterly projections for program expenses, process purchase orders, vouchers, invoices, travel and expense reports, honorarium, reconcile payments, perform internal transfers, collect contributions and prepare ad hoc budget reports for approval; prepare reports and explain projections and spending when attending semi-annual budget meetings with the Director of Finance and Administration of the Office of the Provost and the Vice Provost for Faculty Affairs ??? Perform related duties as assigned
Bachelor???s degree and/or the equivalent required. Minimum of 3-5 years of related experience required, preferably in a University setting.
Excellent computer skills (Word, Excel, Power Point, Web searching and website editing ability)
Strong administrative background including excellent writing, organization, and speaking skills
Capacity to manage multiple responsibilities and deadlines, and work independently with a minimum of supervision
Familiarity with financial administration
Ability to manage sensitive issues
A writing sample demonstrating marketing, newsletter and/or outreach skills
??? Prior Columbia knowledge and experience including working both with faculty and senior administrators ??? Experience working with Columbia financial and website systems ??? Advanced degree
