Reporting to the Senior Associate Vice President of Financial Aid and the Campuses, the Associate Director for Student Services provides tactical direction and primary oversight for student support and services at the Philadelphia Center from admission through graduation utilizing a high-touch model. This position serves as a main contact for Philadelphia students and as liaison with the WCU main campus and other offices to ensure student success and programming and enrichment opportunities. This position also collaborates with faculty to provide an exceptional student experience. The Associate Director for Student Services supervises one staff member ensuring support for the Philadelphia Center.
The ideal candidate demonstrates experience in student services; excellent customer service, communication, organizational, and interpersonal skills; and a commitment to working collaboratively in a team environment.
Ensuring regular, proactive contact with students through in-person, email, and phone communications providing high-touch concierge service from point of admission through graduation
Supporting and assisting with student enrollment by identifying issues/roadblocks related to course availability, registration, financial aid, payment of tuition and/or other services.
Researching and recommending implementation of new technologies and processes to best serve Philadelphia Center students.
Cultivating and maintaining relationships with students, faculty, and other administrative units in support of student success.
Serving as a liaison between Philadelphia Center and the main West Chester campus student service units and student affairs division ensuring appropriate services and programming.
Providing leadership for retention initiatives; working collaboratively with appropriate student service units ensuring maximum retention each term/session.
Collaborating with New Student Programs to ensure that all new students have been properly oriented to the Philadelphia Center by attending New Student Orientation or through individual meetings
Tracking students' progress through the financial aid process to ensure timely payment and proactively address potential issues
Monitoring enrollment and prepare enrollment reports for Senior Associate Vice President of Financial Aid and the Campuses
Participating in Information Sessions for prospective students and attending recruitment events as needed
Arranging for campus visitors to provide information/events at the Philadelphia Center
Serving as liaison between Philadelphia Center and the main West Chester campus student service units and student affairs division ensuring appropriate services and programming.
Leveraging internal and external resources for student support and making referrals as needed
Assisting with the planning and managing Philadelphia Commencement.
Proctoring exams for students taking online classes
Collaborating with Counseling Center and the student counselor regarding student needs and hours of operation
Increasing awareness of Philadelphia Center student needs
Co-Chairing Student and Community Engagement Committee
Serving on university-wide committees supporting initiatives that enhance the student experience
Recruiting and overseeing Student Ambassadors
Developing and administering student surveys for satisfaction, needs assessment, and other feedback and analyzing resulting data to improve student services
Continuous assessment of student service needs and programming
Assisting in developing and maintaining the Philadelphia Center Administration and Educational Support Assessment document
Updating and maintaining WCU in Philadelphia website
Distributing WCU news and information, including the Philadelphia Center Weekly Announcements and the summer anti-melt campaign for new students.
Maintaining and updating Philadelphia Center and New Student Orientation, Philadelphia D2L sites
Administering campus alert system and providing emergency campus notifications such as weather-related closings and other operational impacts
Updating and distributing the Student Resource Guide
A minimum of one year higher education experience
Experience in student services such as registrar, financial aid, student support, student affairs, or program counseling /advising.
Demonstrated proficiency in Microsoft Office 365 Suite including Outlook.
A minimum of two years experience in student services (such as registrar, financial aid, student support), student affairs, or program counseling /advising.
Demonstrated experience working with multiple student populations such as transfer, first-generation, and adult students
Demonstrated experience working with diverse groups
Experience using administrative software and other technology tools within a higher education environment
Demonstrated customer service experience
Excellent written communication skills.
Excellent benefits package including undergraduate tuition fee waiver for self and dependents. The salary range is $57,983- $66,265.
