The Administrative Assistant supports the work of the Chair of Music Studies and Chair of Music Performance in facilitating the day-to-day operations in the departments. The person also serves as the front desk representative for the School of Music office, including scheduling student auditions and creating a welcoming and professional environment for faculty and students, and assisting with advising communication for the students and advisors in the music departments. As well, the Administrative Assistant communicates and coordinates the programs, records, and events with other College and University offices under the direction of the supervisor.
Bachelor's degree preferred
Three years administrative experience in a business or educational setting preferred.
Primary Duties/Essential Functions
Assists the Chair of the Department of Music Studies and Chair of the Department of Music Performance with the day-to-day operations of the departments.
Assist the chairs with enrollment management data, scheduling of classes, budget management, and data gathering.
Assist the Chairs with departmental projects and student worker management.
Assist in the hosting of guests and occasional event coordination for both departments.
Coordinating with the College on details related to contract processing, purchase orders, credit card statements, and expense reimbursements.
Communicate regularly with College and University offices as needed to carry out duties assigned by the chairs.
Respond to phone, general office email, and in-person inquiries for the School of Music, providing general information and referring inquiries to appropriate sources based on School of Music priorities, procedures, and protocols.
Maintain student files for majors and minors within the Music Studies and Music Performance Departments.
Work with undergraduate and graduate School of Music areas to schedule prospective student auditions, assisting with advisement communication, and social media interaction.
Process department printing orders, facility work orders, and warehouse work orders.
Assist the departmental chairs with maintaining day to day office operations.
Be responsible for daily electronic timekeeping as it applies to the scope of this position.
Practice regular, punctual attendance as required by the supervisor based on the department's needs.
Perform other administrative support duties assigned by the supervisor.
Strong organizational, interpersonal and problem solving skills.
Proficient in Google applications, Microsoft Word/Excel.
Strong word processing and social media skills.
Strong clerical, telephone, oral, and written communication skills.
Ability to manage multiple tasks concurrently.
Professional and warm demeanor.
Ability to learn how to manage and use databases or LMS systems, such as Peoplesoft, Canvas, and Slideroom.
Grade 6: $17.72-$23.03/hourly
