The Artistic Planning Manager handles myriad details related to the artistic planning and artistic administration of The Saint Paul Chamber Orchestra. This position is responsible for all arrangements relating to guest artists and assists the Artistic Director in all aspects of the artistic planning process including programming, scheduling, budgeting, committee work, and long-term strategic planning. The person in this role helps to coordinate artistic planning internally with the Operations, Marketing, Development, Digital Media, Community Value, and Finance departments, and externally through communication with artist managers, our partner organizations, and other orchestras and arts organizations.
Primary Functions and Responsibilities include, but are not limited to:
Prepares and distributes correspondence, minutes, and meeting materials for the Artistic Vision Committee, the Artistic Initiatives Committee, and other committees as needed.
Manages the development, tracking, and execution of commissioning contracts
Manages the initiatives related to commissioning new work
Coordinates other large-scale artistic projects with internal and external partners as needed
Assists with grant applications by preparing supplementary materials and information, such as program and artist information, recordings, et al.
Works with Marketing and Digital Media staff to write and/or proofread copy for various printed materials related to programming and promotion
Collaborates with Artistic Director on programming, as needed.
Manages the development, tracking, and retention of guest artist contracts and conductor forms.
Handles advance work for all guest artists, including booking air travel, hotel, and ground transportation.
Prepares and submits appropriate paperwork to secure work visas for foreign guest artists.
Manages the procurement of program and rehearsal information from the guest artists, Artistic Director, and/or SPCO program leaders once repertoire has been confirmed including rehearsal orders, orchestra set up, music editions, late seating placement.
Obtains & communicates other artistic information needed from Artistic Director, guest artists, and/or SPCO program leader, as requested or apparent.
Prepares and submits check requests for commissioning fees, guest artist fees & reimbursements, hotel stays, and transportation.
Attends to guest artists prior to, during, and following rehearsals as needed.
Attends SPCO Musician Led rehearsals and concerts as able
Prepares and manages schedules for guest artists, acting as the point person for other departments and external contacts for guest artist scheduling requests.
Prepares and tracks artistic operations budgeting and forecasts as requested.
Participates in Concert Duty rotation, arranges guest artist transportation, and drives guest artists when needed.
This position is currently working remote but will be returning to onsite locations as we prepare for live concerts.

Minimum Skills and Qualifications:
Bachelor’s degree or equivalent combination of education and experience
Extensive knowledge of chamber orchestra repertoire
Minimum of three years’ experience in orchestral administration or equivalent
Excellent written, verbal and organizational skills
Extremely high level of accuracy, reliability and responsiveness
Ability to prioritize and handle multiple tasks simultaneously and flexibly
Computer skills required: MS Word, Excel and PowerPoint.
Deep knowledge of and enthusiasm for the classical music repertoire particularly as applicable to the SPCO
Interest in concert programming and innovative concert formats
Knowledge Skills and Abilities
Ability to communicate effectively verbally and in writing (in English) in order to adequately perform the expectations of the position.
Demonstrates initiative and ability to work autonomously
High level of confidentiality and discretion required for handling of sensitive materials.
Ability to maintain flexible work hours, including some weekends and evenings.
Valid driver’s license, current insurance, clear driving record and regular access to a clean and safely functioning vehicle suitable for transporting guest artists.
Must have ability to pass a criminal background check.
