Department FRENCH AND ITALIAN (BL-FRIT-IUBLA) Department Information The Department of French and Italian within The College of Arts & Sciences at Indiana University Bloomington offers courses ranging from elementary language to doctoral seminars, with topics ranging from French dialectology to Francophone media studies; from medieval manuscripts to the Mafia in Italian film. The expertise of our 21 faculty members covers the spectrum of French and Italian language, literature, culture, and pedagogy, and we also sponsor a rich program of co-curricular activities including music, lectures, cooking, and even sports in French and Italian. Job Summary Facilitates recruitment of graduate applicants, organization of application materials, on-campus visits, communication regarding admission and financial support, and orientation when new students arrive on campus. Ensures guidelines for our four graduate programs are clear and complete in PDF handbooks and on our website. Facilitates graduate student registration and moving through the steps to MA degree, PhD candidacy, and PhD degree. Assists with graduate student research and travel funding competitions. Verifies graduate language proficiency in French and Italian based on exams or course work. Furthermore, serves as HRMS personnel approver and payroll processor for the department, as well as alternate manager for all departmental accounts at the IU Foundation. Level of decision making: In this position, you will encounter almost as many exceptions to rules as situations where the rules can be followed. Therefore, an understanding of the university's and the department's goals in regard to graduate education is very important, as are communication skills to discuss exceptions with the Directors of Graduate Studies (DGS), the Chair, and the relevant Associate Deans in the College and in the Graduate School. For example, a dual degree student in the College of Arts and Sciences (our department) and the School of Music may think he can get credit for both degrees by taking a music history course, but this is not necessarily the case. Such unusual circumstances must be well-documented in the student's file, and a decision by the DGS in one case could be precedent for future cases. The graduate student services coordinator must review our departmental rules and guidelines regularly and then work with the DGS's to clarify and revise them for current and future students. Scope and impact: There are a multitude of rules and procedures regarding graduate study, making the job complex and requiring the incumbent to patiently learn and document the many different cases that arise. The action (or inaction) of the graduate student services coordinator can literally make or break the trajectory of graduate studies for a student, since Directors of Graduate Studies rely on the incumbent to advise on university and college policy, as well as on departmental precedent. Furthermore, students don't always communicate with the DGS as they should, so sometimes it is up to the staff member to notice and point out that the student has missed a requirement or is not progressing as they should. The incumbent does not develop departmental policy, but does give crucial advice to the faculty as they develop policy, and points out when a policy may need to be developed or adapted to new circumstances. Required Qualifications High school diploma or GED and two years of office experience. Ability to juggle multiple tasks at once, including long-term and short-term projects. Ability to use Microsoft Access and other MS Office software (Word, Excel, Outlook). Ability to effectively communicate and exchange information with a wide diversity of individuals. Preferred Qualifications Bachelor's degree. Three years of office experience strongly preferred. Ability to use InDesign or other desktop publishing software. Working Conditions / Demands Remaining stationary for long periods of time and typing/mousing. Some moderate lifting of office supplies or books may be required periodically.
