Working under the leadership of the President and CEO, the Executive Office Associate will provide assistance in performing a wide range of confidential administrative and board support duties. The Associate has the responsibility of assisting with general office operations and administrative support for the Executive Office. The Associate will project a professional company image through in-person, telephone and web interaction with members and maintain a positive attitude and contributes to a quality work environment. Non-profit experience a plus.
Provide administrative assistance for Executive Office department.
Executive office reports, files and travel agendas.
Calendar management and scheduling for the Executive Office.
Assist with Board of Directors meetings, agendas, logistics, dockets
Provide administrative support in the planning, development and implementation of APAP|NYC, regarding Executive Office events and meetings.
Reconcile Executive Office invoices and travel expense reports.
Board donation coordination.
Assist with VISA support letter requests.
Daily mail distribution.
Assist with Executive office annual business/regulatory filings.
Serve as administrative contact and liaison with constituents, external contacts and operational vendors.
Maintain conference and executive office file data.
Updates office staff phone listings.
Assist with member support during conference.
Other duties as assigned
Experience in a not for profit organization preferred
Must be detailed oriented and have the ability to multitask
Demonstrated office administration and customer service skills
Must provide efficient administrative support in a high-profile environment
Ability to maintain confidentiality
Excellent computer skills – Microsoft Office, CRM systems, and task management tools.
Excellent verbal and written communication skills
Must be a team player
One to three years in a similar position
College degree or an equivalent of education
