Hopewell Theater’s (HT) full-time Program Manager (PM) will oversee the programming department and its staff in the successful curation, booking, production, and settlement of all programs at HT, including third-party booked private events and/or program partnerships with community organizations. Programming department staff under the PM’s leadership include: Administrative Assistant for Programming and Arts Administration, Tech Associate, Lead AV Tech, any and all additional tech staff required for shows, and programming vendors, music booker and film booker. PM is solely responsible for ensuring that all programs are curated according to Executive Director’s direction and according to HT’s “Visioning Message Track Artistic Direction” document and within HT’s annual budget, and for ensuring that all programs are fully booked on deadline to meet quarterly marketing deadlines. Responsibilities include but are not limited to:
Budget and Finance
Approve supply requests spending for department as needed and seek management approval where necessary (quarterly DVD spend, new wires or software for tech)
Oversee Programming department spending according to budget; seek Executive Director approval for any extraordinary talent buys; consider for approval all vendor talent and film booking requests. Approve backline in conjunction with Music Booker's records of approved offers.
Present Reports on Programming Budget to Chief Operations Officer, Executive Director, Bookkeeper, and owners, quarterly.
Negotiate contract and booking arrangements for all Live Performance, Comedy, and Family events as well as any special film programs. Draft and execute performance agreements with support from Administrative Assistant for Programming.
Curate HT programming under the direction of Executive Director, including film, live music, and performance programming. Field program possibilities, meet with talent to explore booking potential as opportunity arises. Research and attend programs with potential for HT. Stay up to date on programming at other venues (theaters, schools, museums, etc) and those at local community events for programming insight and ideas using both print and web resources (local papers, local newsletters, direct mail schedules, web). Field music booker talent buys and approves per HT artistic values; direct music booker inquiries. Field film booker first run and special series film booking suggestions and book per HT artistic values; direct film booker inquiries.
Aim to achieve strategic plan programming goals under direction of Executive Director and review program research and booking status at regular meetings.
Attend community partner meetings set by Marketing Manager to cultivate programming opportunities, at Program Manager discretion.
Set program calendar for each quarter (dates for Art of Living Well series, film series, special events, etc.), making sure programs are firmed up in time for quarterly marketing push and all program areas are booked.
Event Pre and Post Production
QC all day-of-show data, ensure it was entered correctly by Admin and show sheet is correct.
Supervise the tech staffing of every event.
Review settlement sheets after each live event.
If a program with strong potential draw is booked with a partner, work with partners to set a day-of-show schedule, connect partner with marketing as needed and ensure staff have what they need to put on a successful program day of show.
Assign and QC tasks for Admin, Tech Staff, and Marketing Team once a show is confirmed, based on contract, such as: holding artist comps, ordering backline, ensuring technical scripts are received, coordinating the connection to HT Marketing.
Sell Private Events based on knowledge of space and potential availability: evaluate leads, direct Admin to book lead-visits, tour rental clients and negotiate pricing. Assign techs to work as needed. Chaperone private events.
Check SOPs created by Tech Associate to ensure Tech Bible is up to date, as needed.
Schedule Technical Associate and Lead A/V Tech based on Programming Calendar and admin hours.
Marketing - Misc
Liaise with marketing at regular intervals regarding program details and any special marketing needs.
Required Skills and Experience:
At least 3-5 years experience booking programs for a performing arts organization, including contracting and advancing.
Demonstrated ingenuity in creating performing arts of film programming for the public.
3-5 years experience responsibly managing a budget for a programming department, series or arts organization.
Existing talent/agent relationships in indie film, music and/or performing arts.
Demonstrated experience leading a team and managing employees as part of a production team.
Hands-on knowledge of live music and/or theater production.
Experience working in a start-up environment.
Track record for building community through arts programming and partnerships preferred.
