The programming associate will support the director of programming and programming manager with the booking of events, show settlements and be point of contact for rental events and co-promoting events with local and national partners.
Assist director of programming and programming manager in general administration of presentations, productions, and events including creating offers, calendar confirmations, avails, gathering riders, ticket reporting, event coverage, and other needs as assigned
Settle performances and expense reconciliations with staff and promoters as needed
Review and keep record of all contracts, financial materials, and invoices
Act as point of contact for all ticketed rentals, including answering online inquiries, preparing estimates, leading walkthroughs, and settling after completion of event
Execute co-promoting deals with local and national partners including checking available dates and placing holds, creating budgets, and settling performances
Work with programming assistant to manage and maintain the season calendar (ArtsVision) for all departments
Ensure all artists are paid on time according to contract and gather documents needed for payment (contract, w9, settlement, invoices, etc.)
Master industry specific software: ArtsVision Calendar System and Tessitura Ticketing System. Training as needed.
Required Education & Experience, Knowledge and Skills:
Bachelor Degree in the Arts or a related discipline (equivalent experience is also considered and a plus)
3 years previous entertainment/booking/marketing/promotions experience necessary
Ability to understand and interpret complex lease agreements preferable
Ability to be creative and multi-task in a very dynamic, changing, fast-paced environment
Strong attention to detail with the ability to meet goals and objectives
Strong verbal and written skills / phone etiquette and communication skills
Knowledge/experience with Search Engine Marketing and Email/Social marketing
Proficient in Microsoft Word, Excel, Adobe and Outlook
ArtsVision and Smartsheet experience a plus
Able to occasionally work flexible hours including nights and weekends as shows require
Able to work effectively and positively with others
