The Association of Performing Arts Professionals, the largest national service and advocacy organization for the performing arts with more than 1,700 members worldwide, currently seeks a candidate for the position of Seasonal Conference Associate.
Position is expected to run from September 1, 2018 through January 31, 2019.
The Seasonal Conference Associate is responsible for supporting the conference team on planning, logistics and assisting with the production of the APAP|NYC 2019 conference. The annual APAP|NYC conference is the world's premiere gathering of the performing arts presenting community, with five days of programming and professional development, a 370 booth EXPO Hall, showcases, networking and more. Under the supervision of the Conference Director, the Seasonal Conference Associate will be responsible for supporting the Conference team with planning, logistics as well as assisting with the production of the APAP|NYC 2019 conference. The associate is also responsible for customer service, providing support to both the membership and conference teams on the phones and in email. This position requires excellent computer and communications skills and the ability to work in a deadline-oriented environment. Work experience in event planning and the creative industries, including the performing arts and in a national nonprofit organization preferred. The ideal candidate will be customer service oriented and a collaborative team player with the ability to work across multiple departments in a faced paced setting. This is a short-term position and does not include employee benefits or paid holidays.
Support the planning, development and implementation of APAP|NYC, including all conference operations and logistics, professional development and plenary sessions, as well as scheduled meetings
Pre-conference data input to conference planning program
Support the conference staff in updating the mobile app
Assist with conference phone line and member calls about APAP|NYC
Assist Conference Director and Conference Meetings Manager with speaker contracts, A-V and facilities requests and honoraria payments
Assist Conference Director and Conference Meetings Manager with conference timeline, staff tasks and onsite staff meetings
Assist Conference Manager with the shipping of conference materials to and from Annual Conference
Monitor conference website and proofread for missing and/or erroneous materials, consistency, etc.
Other duties as assigned
Bachelor’s degree preferred
Event planning experience preferred
Excellent computer skills, knowledge and experience with MS Office®
Familiarity with meeting planning programs and Microsoft CRM a plus
Excellent communication skills (oral, written and electronic)
Ability to work under deadline and fast paced environment
Demonstrated customer service skills and experience
